  • We collect only what we need to run the website, answer you and do business with you.
  • We do not sell your personal information, and we do not share it for advertising.
  • Our apps have their own privacy policies (see section 11). If you use one of our apps, that app's policy applies to it.

2. Who this policy applies to

  • apply to work with us, for example as a contractor, AI trainer or partner
  • are a client, or work for a client, of our services (such as AI training and software development)

3. Information we collect

3.1 Information you give us

  • Contact details: name, email address, phone number, company name, and anything you write in a message or form.
  • Applications: if you apply to work or partner with us, your résumé or CV, portfolio, work history, skills, location, availability, and links you share (such as LinkedIn).
  • Business information: if you are a client or partner, contact and billing details, contracts, and project information you share with us.
  • Newsletter or updates: your email address, if you sign up.

3.2 Information collected automatically

When you visit the Website, our website host and tools may automatically collect:

  • IP address, browser type, device type and operating system
  • pages you view, the page you came from, and the date and time of your visit
  • general location (city or country) based on your IP address

We collect this using server logs and cookies and Google Analytics. See section 6.

3.3 Information from others

  • LinkedIn and job platforms: if you apply through LinkedIn or another platform, we receive what you submit there and what the platform shares with us.
  • References and referrals: if someone refers you to us, we may receive your name and contact details from them.

4. How we use information

We use information to:

  • run, maintain, protect and improve the Website
  • reply to your messages and requests
  • review applications and choose people to work or partner with
  • provide our services to clients, and manage contracts, invoices and payments
  • send updates you asked for (you can unsubscribe at any time)
  • understand how visitors use the Website, in summary form
  • prevent fraud, spam and abuse
  • follow the law and protect our rights

We do not use your personal information to train AI models unless you have clearly agreed to it as part of a specific project.

5. Legal bases (for visitors in the EU and UK)

Where the GDPR or UK GDPR applies, we rely on:

  • Contract: to provide services you asked for, or to take steps before entering a contract
  • Legitimate interests: to run our business, answer enquiries, review applications and keep the Website secure
  • Consent: for optional cookies, analytics and marketing emails, which you can withdraw at any time
  • Legal obligation: where the law requires us to keep or share information

6. Cookies and analytics

Cookies are small files stored in your browser. We use:

  • Essential cookies, needed for the Website to work
  • Analytics cookies from Google Analytics, to count visits and see which pages are popular.

We do not use advertising or tracking cookies to show you ads. You can block or delete cookies in your browser settings; the Website will still work, though some features may not.

7. How we share information

We do not sell or rent personal information, and we do not "share" it for cross-context behavioral advertising.

We share information only:

  • with service providers who help us run the business, such as our website host (Vercel), email provider (Google Workspace), analytics provider (Google Analytics), and payment or accounting tools. They may use it only to provide their services to us.
  • with clients, if you are a contractor or partner working on a client project and the project needs it (for example, your name and role). We will tell you before this happens.
  • for legal reasons, if the law requires it, or to protect the safety, rights or property of you, Novawave or others
  • in a business transfer, such as a merger or sale, with notice to you

8. How long we keep information

  • Messages and enquiries: up to 24 months after our last contact.
  • Applications: up to 12 months after a hiring or partnership decision, so we can contact you about future opportunities, unless you ask us to delete it sooner.
  • Client and contract records: as long as needed for the work, then as long as tax and business laws require (usually 7 years).
  • Website analytics: up to 14 months, in the tool's own settings.

After that, we delete or anonymize the information.

9. Security

We use reasonable measures to protect information, such as encrypted HTTPS on the Website, access limited to people who need it, and strong passwords with two-factor sign-in on our accounts. No system is perfectly secure, so we cannot guarantee absolute security. If a data breach affects you, we will tell you as the law requires.

10. Your rights and choices

Depending on where you live (for example under the GDPR in the EU/UK, or state laws such as the CCPA in California), you may have the right to:

  • know what personal information we hold about you and get a copy
  • correct information that is wrong
  • delete your information
  • object to or limit how we use it
  • withdraw consent at any time
  • receive your information in a portable format
  • not be treated differently for using these rights

To make a request, email [email protected]. We may need to confirm your identity first. We will reply within the time the law requires (usually 30 to 45 days). If you are in the EU or UK, you can also complain to your local data protection authority.

To stop marketing emails, click "unsubscribe" in any email or write to us.

11. Our apps and products

Some Novawave products have their own privacy policy, which explains exactly how that product handles your data. When you use one of these products, its own policy applies to it, and this policy covers everything else:

12. Links to other websites

The Website may link to other sites, such as LinkedIn. We are not responsible for their privacy practices; please read their policies.

13. Children

The Website and our services are not meant for children under 16. We do not knowingly collect information from children. If you believe a child has sent us information, contact us and we will delete it.

14. International visitors

Novawave is based in the United States. If you contact us from another country, your information will be handled in the United States, where privacy laws may differ from yours. Where required, we use appropriate safeguards for these transfers.

15. Changes to this policy

We may update this policy from time to time. We will change the effective date at the top and, for important changes, post a notice on the Website.
